Walking step by step through how to setup a listing for an experience.
1. Create your first listing 🧞
On the left side of your screen you will see a menu. The first we suggest you click on is “Listings”. On this page you will see your current listings and you can create a new listing on the upper right side of your screen.
Optional: (this will only happen if you haven't edited your "Settings" ⚙️ before)
You will be asked to enter your business data into a popup field. The Email you enter here is the Email you will receive all the booking information. Other than that you can set up the currency you want to collect payments with and in which country you are based. Read a help article here.
WARNING ⚠️ : Always click "Next" to safe your written words. If you jump between steps without clicking "Next" the data will be lost.
Step 1: Basic Information 🏗
After that you can set up your first listing! This may be a beginners yoga lesson, a one hour crypto coaching session or whatever you offer to your clients. You will be led through 6 steps where you can enter all important information on your event. Let’s pretend to offer a sunset hike.
You can upload some pictures. We recommend uploading at least 5 medias. I'll upload 4 pictures now and a video. This can be added after we set up the listing. When you entered your title and pictures click “next” in the right corner of your screen.
Step 2: Details 🧬
In the second step you can enter a description of your experience and set a color. Only you will see this color in your booking calendar so you can see on view what is offered at what time. Click “next” in the right corner of your screen once you’re done.
Step 3: Location 🌏
The location can either be in person, where you can enter the address of where the event will take place or a virtual event. You can add a Zoom link, which your clients will receive automatically within their booking confirmation.
Click “next” in the right corner of your screen once you’re done.
Step 4: Price (per session) 💵
You can either set up a free or paid listing. For a free listing just click on the “this is a free listing” button. For paid events enter the price for one session.
You can set a deposit to avoid No-Shows. This amount will be charged while booking. Your customers can pay the rest of the price when they arrive at your location. Click “next” in the right corner of your screen once you’re done.
Step 5: Availability ⚖️
Here you can enter minimum and maximum numbers of clients. When the max. amount of people booked the event, the session will be closed and not be bookable anymore. You can manually add or delete participants. If only two people booked the session you can decide in your terms and conditions what will happen next. In general the booking will be canceled and the two participants will be refunded. Click “next” in the right corner of your screen once you’re done.
Step 6: Duration ⏳
Here you can enter how long your event will take. We suggest using “all day” only for more than one day events, as you can’t set up start and end time. If you want a single day from 8am to 5pm, set the duration to 9 h and enter start time in the next step. Click “next” in the right corner of your screen once you’re done.
Step 7: Schedule 📅
You have three options to schedule your events.
- Single Event
This can be used for events that only take place once. Maybe a party or a special offer.
2. Event Series
Here you can manually enter as many dates as you want.
That’s for recurring offers. You can set an end date if you wish to. It's the easiest way to create many dates for one listing.
Step 8: Things to note 📝
Here you can enter your Cancellation policy and set it up, so it can be automatically fulfilled by your akin booking engine.
You can also add important things to note, such as "bring good shoes or 50% payable now, please bring the rest of the amount in cash".
Step 9: Customise your public URL 🎨 (optional)
To customise your public URL you need to click "Manage" at the listing you just created.
Now you customise your public URL.
Step 10: Upload a video 📽 (optional)
Now you can upload a short video to show even more of your services. You will be able to see the video after few minutes.
Step 11: Advanced 🤓 (optional)
Here you can group your listings. There may be more listings at the same time than you can operate, or you have multiple guides or ...
Once one booking of one group is booked, the other listings within this group will be closed automatically. You can enable all bookings again manually.
Step 12: Booking window 🌄 (optional)
Booking window refers to the duration of time between the start time of the listing and the latest time at which a booking can be made for this listing. Bookings cannot be made after the booking window has ended. For 'All Day' listings, the start time is considered to be the beginning of that day (00:00)
2. Review your listing on the booking calendar! 📅
Click on "Calendar" in the left handed menu. Try out different views (monthly, weekly, daily) to see which one you prefer. You can switch between months, weeks and days with the two arrows in the box at the bottom. You can create a new listing by clicking + .
To get more information about one specific listing click on the listing. 📂
You can set the "stop sell button" manually and add a participant manually.
